Project Assistant

Primary Purpose:

To assist the Site Manager and teaching team in coordinating and tracking of their specific operational matters to achieve the goals and objectives of the program and the mission of Partners In Development Foundation

Essential Duties:

  • Provide daily office support
  • Assist Site Manager as requested
  • Coordinate and prepare materials for all team meetings
  • Record and produce meeting notes from team meetings
  • Keep record of team staff attendance
  • Update and maintain the team’s enrollment roster
  • Maintain enrollment files in office and on database
  • Assist team at site as needed.
  • Assist in ordering, receiving and marking of team supplies
  • Monitor office supplies and inventory
  • Prepare expenditure vouchers.

Other Duties:

  • Other duties as assigned
  • Provide assistance to teaching teams as needed

Work Hours:

  • 40 hours per week, 6:00 am to 2:30pm, Monday through Friday, or otherwise determined by the supervisor
  • Dependable, punctual and adheres to the subscribed schedule

Working Conditions:

  • Primarily in the office
  • Travel to neighboring islands and program sites as needed

Physical
  • Able to sit at desk 75% of the time
  • Able to lift 40 lbs on a regular basis.

Minimum Qualification Requirements

  • Experience in working in an administrative capacity for a minimum of 5 years
  • AA in early childhood education preferred
  • Must be proficient in Microsoft Office
  • Must have access to a vehicle, have a valid driver’s license, a safe and responsible driving record, and current no-fault auto insurance, with at least the minimum State of Hawai‘i coverage requirements with at least $100K in bodily collision per person per accident
  • Must provide a criminal abstract
